How the math works

Calls per week times 52, divided by 12, gives calls per month. Multiply by the share that goes unanswered to get missed calls. Multiply that by the share who would have bought, then by your average value. That's the revenue at risk each month, and twelve months of it is the year.

Where to find your numbers

  • Calls and unanswered calls. Your phone carrier or phone system usually logs every call, including the ones nobody picked up. A single week is enough to start.
  • Who would have bought. Look at the calls you do answer. The share that turn into an order or booking is a fair, conservative guess for the ones you miss.
  • Average value. Your POS or booking system reports an average ticket or booking value.

What this leaves out

It only counts the sale on that one call. It doesn't count the regular who tried twice and switched to someone else for good, the staff time spent calling people back, or the bad review from a caller who never got through. Those are real, but they are guesses, so they are not in the number.

How do I find out how many calls I miss?

Your phone carrier or phone system usually keeps a call log that marks unanswered calls. A week of that log is enough for a first estimate.

What share of missed callers would have bought?

Only you can answer that honestly. A reasonable starting point is the share of the calls you do answer that turn into an order or booking. Pick a number you would defend.

Does this include customers who never come back?

No. It only counts the sale on that call. A caller who gives up may also be a regular you lose for good, which this calculator does not try to price.
